Landing in the role of a new Pardot (Account Engagement) admin can feel like jumping into the deep end without floaties. From unexpected data sync issues to confusing automation behavior, it’s easy to stumble if you don’t know where to look.
Whether you’re an “accidental admin” or newly tasked with managing an existing Pardot setup, this article walks you through seven common pitfalls new admins face – and how to fix them with confidence.
1. Prospects Not Syncing to Salesforce as Leads or Contacts
One of the most frequent (and frustrating) issues for new admins is when a prospect is visible in Pardot but nowhere to be found in Salesforce. If this sounds familiar, check these sync requirements first:
- The prospect must be assigned to a user in Pardot (manually, via automation rule, or through a completion action).
- Ensure the “Do not sync to CRM” flag isn’t enabled on the prospect.
- There must be activity – user or system – that triggers the sync.
- The prospect must not have sync errors.
To diagnose further, consult the Sync Error Queue in Pardot and verify the prospect’s audit trail for activity that should have triggered a sync.
2. Field Data Getting Overwritten or Failing to Sync
If changes made in Salesforce are unexpectedly overwritten by Pardot – or vice versa – field sync behavior is usually to blame. Each synced field has a defined “master system” that controls which data is retained when conflicts arise.

- Permission issues: The Pardot connector user must have read/write access for the affected field in Salesforce.
- Field type mismatch: For example, a numeric field in Salesforce can’t accept text inputs from Pardot.
- Invalid field values: Character limits, required fields, and picklist validation rules in Salesforce must be respected.
- Incorrect field mapping: Double-check that fields are correctly mapped using API names. Similar-looking field names often trip up new admins.
Tip: Click the circular refresh arrows in Pardot field mappings to reload available Salesforce fields – especially if newer fields aren’t showing up.
3. Automation Rules Not Firing
Built an Automation Rule that seems perfectly logical, but it’s not doing anything? Before tearing it apart, ask yourself two questions:
- Has the rule been resumed after creation or modification?
- Have you waited long enough for automation processing (which can take 2–4 minutes)?
You can also check the “Audits” tab on a prospect’s record to see whether the rule picked it up. Remember, paused rules do nothing – and they don’t auto-resume.
4. Unable to Reference Salesforce Campaigns in Pardot
Every Pardot asset – emails, forms, landing pages – should be connected to a campaign. If you’re struggling to reference Salesforce Campaigns within Pardot, the likely cause is a setup issue in the campaign itself:
- Campaign status must be “In Progress.”
- End date shouldn’t be in the past.
- The campaign must be marked as “Active.”
If you haven’t enabled Connected Campaigns yet, that’s your first step before trying to associate Pardot assets directly.
5. Email Changes Not Saving in the Classic Email Builder
If your email edits mysteriously vanish, there’s a high chance you’ve had more than one Pardot tab open. The Classic Email Builder’s autosave function will save over your updates with the session from the inactive tab.
Bottom line: Don’t work in multiple windows when editing a classic email. If you do, you risk losing work due to autosave conflicts.
Note: This issue does not occur in the Lightning Email Builder, which doesn’t rely on autosave.
6. Segmentation Lists Not Appearing in Email Sends
You’re ready to send an email, but your carefully built segmentation list is nowhere to be found. Check for these two conditions:
- Email Test List Flag: Lists marked as “Email Test Lists” are excluded from standard email sends. They’re only for rendering tests.
- Archived Lists: Archived lists can’t be used in any active operation, and prospects can’t be added to them.
Quick fix: Unarchive the list or create a new one without test mode enabled.
7. Duplicate-Looking Tabs in Salesforce
Seeing double when it comes to Campaigns and Reports? You’re not imagining it. Here’s what each tab actually means:
